Vancouver Island Bikepack Collective (VIBC) Code of Conduct

Mission Statement:

The Vancouver Island Bikepack Collective aims to reduce barriers for those who are curious about adventure cycling by providing an opportunity for participation, knowledge, and a safe and inclusive environment for everybody.

Purpose:

To lead group adventure cycling and camping activities on Vancouver Island and the surrounding area, and to do the following in support of that purpose:

  1. Reduce barriers for those wishing to participate in adventure cycling by providing an opportunity for participation, knowledge, and a safe and inclusive environment.

  2. Promote responsible and safe on- and off-road cycling, as well as low-impact and “leave no trace” camping practices.

  3. Advocate for and act as good ambassadors and models of adventure cyclists, including following all relevant laws and regulations.

  4. Increase society membership.

  5. Raise funds for the purposes of supporting the aforementioned activities.

Code of Conduct:

When joining VIBC events, participants are expected to adhere to the following principles:

Inclusivity, Diversity, and Respect

  • Create a welcoming and inclusive environment for all participants,regardless of age, gender, race, ethnicity, sexual orientation, ability, or level of experience.

  • Treat everyone with respect and kindness. Discrimination, harassment, or any form of abusive behaviour will not be tolerated.

Safety First

  • Prioritize safety at all times. Participants are expected to follow all traffic laws, use appropriate hand signals, and wear helmets and other safety gear as necessary.

  • Ensure your bike is in good working condition before participating in any ride.

  • Carry essential supplies including water, food, tools, a repair kit and a firstaid kit.

  • Understanding your limits, and riding within your ability and skill level.

  • Adhere to best practices for on- and off-road cycling to ensure the safety of yourself, other participants, as well as other road users.

  • Understanding that these are not guided rides and that you are ultimately responsible for yourself and your own safety.

Environmental Stewardship

  • Respect the environment and practice “Leave No Trace” principles. Pack out all trash, respect diverse ecosystems, and avoid disturbing wildlife.

  • Following smart practices with respect to wildlife, such as carrying bear spray when necessary and storing food in an appropriate, bear-safe manner.

  • Respecting relevant fire bans and other directives.

  • Promote safe and sustainable cycling practices to minimize our environmental impact, such as staying on designated roads/trails and respecting private property.

Participation and Engagement

  • Encourage active participation and engagement in club activities. Share your knowledge and experiences to help others learn and grow.

  • Be supportive of fellow cyclists, offering assistance and encouragement as needed.

Responsibility, Accountability, and Consent

  • Take responsibility for your actions and decisions. Be accountable for maintaining your own and others' safety and ensure you are following all applicable laws and best practices.

  • Respect the boundaries, consent and autonomy of others. Listen actively and communicate clearly to ensure that all interactions are consensual and respectful.

Advocacy and Ambassadorship

  • Advocate for adventure cycling by promoting its benefits and encouraging responsible practices.

  • Act as ambassadors of the cycling community by following all relevant laws and regulations and modeling good behavior.

Financial Responsibility

  • Respect the registration and waitlist procedures for events, unless otherwise communicated by the Board (i.e. booking your own site if the group site is full).

  • Ensure that all camping fees and other associated costs are paid promptly and in full, unless otherwise communicated by the board. This helps maintain our relationships with campgrounds, our partners and supports the sustainability of our activities.

Reporting

  • The Board of Directors is committed to ensuring a safe and respectful environment for all participants.

  • Members are encouraged to intervene immediately, if they can do so safely, when they witness or experience a violation of the Code of Conduct.

  • Members will have the option to provide feedback and report any concerns under the Code of Conduct anonymously.

  • All information gathered by the Board of Directors will be handled confidentially to the fullest extent possible.

  • Members making a report of wrongdoing in good faith under this Code of Conduct and anyone else involved in the assessment or investigation process will be protected from direct or indirect retaliation arising from the report of wrongdoing.

  • All reports will be reviewed by the Board of Directors and corrective action will be taken as appropriate.
